Timesheets, invoices and expenses
Submit a week, approve it, then build an invoice from finished billable time and expenses.
Timesheets
Timesheets is the week, per person, with project detail. Submit your own completed entries. An admin can submit on someone’s behalf and then approve or decline what is waiting. Declining returns the entry to unsubmitted so it can be corrected and sent again. Unapproved time is held back from invoices.
Build an invoice
- Open Finance → Invoices and press New invoice Choose the client and a from/to range. The default range is the last 30 days.
- Choose how to show time Join similar tasks sums the same task onto one line. One line per project compresses every hour on a project. Each time entry keeps every entry on its own line.
- Add tax, and ABN details when the currency is AUD Tax defaults to 10 percent. Your ABN and the client’s ABN appear for Australian-dollar invoices. Add a note if the client needs one.
- Create invoice The draft pulls completed, billable, un-invoiced time and billable expenses. Time that is still waiting for approval is left out. Time that was logged from Tides is left out, because Tides bills its own work.
- Mark sent, then Mark paid Those are the only two moves, in that order. Numbers run INV-0001 upward inside the workspace. Delete a draft if it is wrong. Deleting releases the time and expenses so they can be invoiced again. A sent or paid invoice is not deleted from this screen.
Expenses
Finance → Expenses records a date, description, amount and billable flag, with an optional client and project. The currency is the workspace currency. Billable expenses flow into the next invoice for that client and then lock. Editors record, edit and delete expenses. An invoiced expense cannot be edited or deleted.
Finance overview
Finance → Overview is the money summary for the period you pick. Outstanding balances are separated by currency. A workspace that has invoiced in more than one currency does not convert those totals into one number. Read each currency on its own.
