Free gets you a board and a wiki. It does not get you a studio.

Plane is an open tracker. Outline is an open wiki. ClickUp gives it all away on the free plan. None of them shares a client, an hour or an invoice between the board and the page.

The honest advice is to start free. Plane runs a board. Outline runs a wiki. You host them, you like them, and you have spent nothing. Then month three arrives: the spec is in Outline, the task is in Plane, the hours are in a spreadsheet, and none of them knows what the other knows. Free bought you two good tools and no studio.

I am not against free. Plane and Outline are good, and self-hosting them is a real answer if you enjoy that sort of evening. The trap is not the licence. The trap is that each tool owns one body of knowledge and refuses to know the others.

What free does well

A tracker, a wiki and a timer, each for nothing, each excellent at one thing. If your work is one discipline — all code, all writing — that is genuinely enough. Do not buy a suite to feel organised.

Where it comes apart

The moment a client appears, free tools go quiet. The client is a project in Plane, a page in Outline and a row in a spreadsheet. Nobody can link them. The hour you tracked is not on the card, and the card cannot be invoiced.

What a studio shares instead

  • One client directory. The board, the timer and the document point at the same record.
  • One hour. Logged on the board and invoiced from the timer. Nothing to reconcile.
  • One page tree you can link from a task, with permissions your workspace keeps.
  • One invite. Open any app already signed in, with per-app access decided once.
  • A teammate that writes through an inbox and an approval, not a chat log.
Free tools are a good place to learn what you need. They are a bad place to keep a client.

Stay on free while the work is one discipline. Move when the client, the hour and the page have to agree — that is the day the seams stop being free.

Use free tools to prove you need the work. Use the suite when the board, the page and the invoice have to be the same fact.
